Terms & Conditions
TERMS & CONDITIONS
By registering and signing the contract (bottom of the submitted entry form), you agree to the following terms and conditions:
1. Enrolment Fee
A non-refundable annual enrolment fee of R200 per dancer/student is payable upon enrolment
(Loreto Convent: R130).
This fee must be paid on the day of enrolment and strictly before the student’s first class.
2. Responsibility & Agreement
After corresponding with us via email and registering, parents/guardians accept full responsibility for all payments on the student’s account and must familiarise themselves with the Terms & Conditions and General Rules before the student attends their first class.
Please ensure that ALL terms and conditions are read and understood. These are non-negotiable.
3. Class Structure & Schedule
•Classes range between 30 and 60 minutes, depending on the student’s age and level.
•Ballet classes are held once per week. Students may attend an additional class at a second venue free of charge if they wish to attend twice weekly.
•No classes will be held on public holidays, public school holidays, or during dance exams, unless pre-arranged by teachers.
•PLEASE NOTE: There are NO CLASSES during our Annual Exam Dance Week.
4. Fees & Payments
•Fees are calculated monthly (12 months per year) or per term (4 terms per year) and are payable in advance on or before the 3rd of the month or term.
•Pre-schools may only pay per term.
•No fees are refundable, and no credit will be given for missed classes.
•If fees are not paid by the 3rd of the first month of the term, a reminder email or whatsapp will be sent.
•If payment is still not received by the postponed date, the student will not be permitted to attend classes, and the account holder remains liable for all outstanding fees as per the contract.
•Parents paying annual fees in advance must ensure their child will continue for the full year. No refunds will be issued for fees paid in advance.
•No notice of termination will be accepted in the final term of the year, and fees will be payable until year-end.
•A 15% late-payment penalty will be charged for payments not received by the 3rd of each new term.
•Payments received after the 15th of the term will result in automatic de-registration, as per contract.
•It is not the responsibility of Ballet Pretoria to remind parents to make payments.
5. Termination of Registration
Should a student wish to terminate their registration, one full term’s written notice (3 months) must be submitted via EMAIL ONLY.
Messages sent via phone or WhatsApp will not be accepted.
6. Payment Method
All payments must be made via direct deposit only.
No cash payments will be accepted.
7. Additional Costs
Fees do not include examination, competition, or entry fees.
8. Liability & Indemnity
Ballet Pretoria accepts no responsibility, direct or indirect, and will not be held liable for any accident, injury, illness, damage, loss, or death suffered by a student or parent during lessons, rehearsals, performances, outings, functions, or tours.
By accepting this contract and Terms and Conditions, you indemnify and hold harmless Ballet Pretoria(Rochelle Myburgh), Sharon School of Ballet(Sharon Viljoen) and all employeesagainst any such claims.
9. Supervision
Ballet Pretoria is not responsible for students outside of class times.
10. General Conduct
All students, teachers, and parents must adhere to the studio’s General Rules for safety and respect of others and the premises.
11. Communication
All communication with Ballet Pretoria must take place between 9:00 am and 11:00 am, Tuesdays to Thursdays, via phone call, WhatsApp, or email.
(WhatsApp preferred.)
12. Uniform & Attendance
•All classes must be attended in studio uniform.
•Teachers and assistants will not be responsible for locating primary students who do not arrive for class on time.
•It is the parent’s/dancer’s responsibility to arrive punctually.
•Creche and Grade R students will be collected from their allocated classes or play areas.
13. Attendance Register
A class register is maintained by each teacher for safety and attendance purposes.
14. Class Cancellations
If a class is cancelled due to teacher illness, a health epidemic, or any unforeseen event, the class may be rescheduled or time may be added to future lessons.
This may occur on a different day or time and may extend term dates.
No refunds will be issued in such cases.
15. Full-Term Liability
If a student attends any classes during a term, the full term’s fees remain payable.
Absence due to illness or non-attendance does not exempt payment obligations.

PERMISSIONS (Medical & Photographic Consent)
1. Medical Consent
Parents/guardians of students under 18 grant permission for an authorised first aider to administer immediate and/or necessary first aid treatment.
2. Photographic Consent
Upon registration, parents may opt in or opt out of photographic consent.
Parents will be notified in advance of photographic sessions.
3. Social Media Consent
Photos taken during classes, performances, exams, and shows may be shared on Ballet Pretoria’s social media platforms, including:

•Ballet WhatsApp groups
By registering, parents consent to the sharing of group and class photos.
To opt out, please notify us via email upon registration.

GENERAL RULES
1.Ballet Pretoria reserves the sole discretion to determine a student’s suitability for examinations, competitions, and performances. Students may be withheld due to poor attendance or inadequate preparation.
2.All school bags, tog bags, shoes, and clothing must be left outside the studio or in the waiting area.
3.No eating or soft drinks during class times. Water is permitted.
4.No interruptions during any class. All administrative matters must be discussed via email.
5.All cell phones must be switched OFF during class.
6.A student must achieve 80% or higher in the annual dance exam to qualify for a solo, duet, or trio at a competition.
7.If a student is absent three or more times per term, he/she will not be permitted to participate in exams or festivals.
8.Students must vacate the studio promptly after class to accommodate the next class. No chatting outside of class.
9.All students will have the opportunity each year to participate in exams, the annual show, and stage performances.
10.Late payments will incur a 15% penalty fee, as stated in the signed contract.
11.Parents are invited to observe their child’s progress only on designated dates, which will be communicated via newsletters.
No spectators may attend classes outside of these dates, except grandparents or visiting family from afar.
12.Should a student wish to discontinue lessons, one full term’s notice must be given.
13.No child will be allowed to participate unless Ballet Pretoria has received a fully completed registration form, enrolment fee, and signed Terms & Conditions.
14.It is the parent’s/guardian’s responsibility to ensure they are added to the relevant WhatsApp groups.
15.It is the parent’s/guardian’s responsibility to notify Ballet Pretoria of any changes to contact details.
16.If a student does not participate in the year-end exam, exam work may still be practised in class. Parents are expected to explain this to their child at home.
17.Dancer of the Month
At selected schools, a Dancer of the Month may be awarded. The recipient will be chosen at the sole discretion of the teacher. This recognition is not based on technical ability alone or being the “best” dancer. Selection may consider a range of factors including, but not limited to: consistent effort, positive attitude, class participation, improvement over time, behaviour, teamwork, and respect for teachers and fellow students.
18.Supervision and Responsibility
The Ballet School’s duty of care toward a student applies only during the scheduled class time where supervision is expressly provided by the Ballet School. The School, its employees, contractors, agents, and representatives do not accept responsibility or liability for students before the commencement of class or after the conclusion of class, including while waiting for drop-off or collection. Parents and guardians remain fully responsible for the supervision, safety, conduct, and care of their child outside of scheduled class times, including travel to and from the School premises. By accepting this Terms and Conditions, the parent or guardian acknowledges and accepts that the School’s responsibility for a child’s care begins when the class starts and ends when the class finishes.
